Executive Event Transport to the NEC Birmingham
The NEC sits at the heart of the motorway network, which means every exhibitor, contractor and visitor arrives on the same roads. We plan around the M42 so your team is on the stand before the doors open.
- Door-to-hall from Hampshire and London
- Show-week shuttles from Solihull and Birmingham hotels
- Birmingham Airport and NEC pickups coordinated
- Fixed quotes for multi-day exhibitions
Show Days at the NEC Without the M42 Stress
The NEC is the UK's largest exhibition centre, with around twenty halls arranged around Pendigo Lake, an arena and Resorts World. Its position beside the M42, Birmingham Airport and Birmingham International station is excellent until a major show such as Crufts, Spring Fair or the Autumn Fair opens and tens of thousands of people converge on Junction 6. We study the venue's traffic arrangements for your show, choose the right entrance for your hall and time the run so you avoid the worst of the morning queue.
From our Hampshire base, the NEC is about 130 miles via the A34, M40 and M42, a journey of two and a half hours on a good morning. For exhibitors that means a very early start, and a car is the only way to bring a team, laptops and display items door to door without changing trains. On the return the chauffeur waits until the halls close, rather than leaving you to join the crowd on the walkway to the station or the queues for the car parks.
Many clients use us for the whole show week. We can collect speakers or buyers from Birmingham Airport, which is linked to the NEC by the AIR-Rail Link, take them to hotels at Hampton-in-Arden, Solihull or the Resorts World complex, and shuttle them between hotels and halls each day. Evening dinners in Birmingham city centre or at The Belfry are part of the same booking, with one contact for every journey. The quote is fixed and covers fuel, tolls, waiting and VAT.

Built Around Who's Travelling
Corporate Executives
Sales and marketing directors often need to visit a trade show for a day, meet key clients and return the same evening. An E-Class or S-Class collects from home in Hampshire or London, drives directly to the NEC and waits until you are ready to leave. You can make calls and prepare on the way up, then rest on the way back.
VIP Guests and Speakers
Keynote speakers and important customers need a reliable arrival and a quiet place to prepare. We collect from Birmingham Airport, a London hotel or a private address and coordinate timings with your event team. The chauffeur remains nearby during the session and takes them on to dinner or their next appointment.
Exhibitors with Heavy Luggage
A small exhibitor team usually brings laptops, product samples, brochures and banners. The V-Class carries seven passengers and six to seven large cases, so the team travels together with everything they need. Child seats are available on request for families attending consumer shows such as Crufts or the BBC Good Food Show.
International Buyers and Visitors
Overseas visitors flying into Birmingham, Heathrow or Manchester often underestimate how far the NEC sits from the city centre. We meet them with a name board, track flights in real time and drive them directly to their hotel or the halls. For multi-day shows, we provide daily transfers, evening dinner runs and the return to the airport.
Woodford Chauffeur Cars vs Taxis vs UK Rail
| Woodford Chauffeur Cars | Standard taxi / minicab | UK rail | |
|---|---|---|---|
| Price certainty | Fixed quote: fuel, tolls, congestion charge/ULEZ, parking and VAT included | Metered or surge-priced; extras often added | Advance fares vary; walk-up and peak fares are high |
| Door to door | Yes: from your address to the exact terminal, entrance or lobby | Usually, but few local firms cover long distances well | No: station transfers at both ends |
| Luggage | Carried for you; the V-Class takes 6–7 large cases | Limited boot space in a standard saloon | You carry it, including on stairs and changes |
| Vehicle | Mercedes-Benz E-Class, S-Class and V-Class | Varies widely | Shared carriage; a seat isn't always guaranteed |
| Driver vetting | Licensed, DBS-checked professional chauffeurs | Licensed, but standards vary | Not applicable |
| Delays | Flight tracking and live re-routing around incidents | The driver may cancel or re-price | Strikes, engineering works and cancellations |
| Work & privacy | Quiet private cabin with Wi-Fi for confidential calls | Little privacy | Public carriage; patchy signal |
| On this route | Direct and door to door with one professional chauffeur | Taxi queues at the NEC can be long when halls close, and a single minicab cannot transport a full exhibitor team plus equipment or wait through a long show day. | Birmingham International station is connected to the NEC by a covered walkway, but from Southampton you are relying on long-distance CrossCountry services or changes, and show-close crowds make the return slow, particularly with luggage or display items. |

Questions Before You Book
What happens if traffic on the M40 or M42 delays us?
We monitor the A34, M40 and M42 before and during your journey and adjust the route in real time. If a delay is unavoidable, we keep you and your event contact informed. A free waiting allowance is included for non-airport pickups, and for airport collections we track flights and include 60 minutes of free waiting from landing. Your quote stays fixed.
Can you take us very early on show-opening day?
Yes. Many exhibitors leave Hampshire before 5am to be on the stand before opening. We schedule rested chauffeurs and confirm the departure time the day before. Every fare is fixed before you book: early-morning and late-night journeys have no meter, and any peak-time or holiday surcharge is shown on the booking page before you pay. Any supplement is shown in your fixed quote, so your budget is known well before the show.
How much luggage and display material can you carry?
The V-Class carries up to seven passengers with six to seven large cases, which suits laptops, brochures, banners and small display units. The E-Class and S-Class take two large cases. For large stands or heavy equipment, use a freight contractor and let us move the people. Tell us what you need to bring and we will advise.
What is your cancellation policy?
If your show plans change, call us as early as possible. Cancellation is free up to 24 hours before your pickup. You can update pickup times, passengers or addresses by calling 020 8888 9988, and we will confirm the changes in writing. If an exhibitor drops out of the team, we can often switch the booking from a V-Class to an E-Class rather than cancel it outright.
How early should I leave Southampton for a 9am NEC opening?
For a 9am opening on a busy show day, we normally recommend leaving Southampton around 5.45am to 6am. This allows for the A34, the M40 and queues approaching M42 Junction 6. On quieter days you can leave later, and we will confirm the best time when you book.
Can you collect from Birmingham Airport and take us to the NEC?
Yes. Birmingham Airport is very close to the NEC and the drive is usually a few minutes outside peak times. We meet you in arrivals with a name board, track your flight and take you to the halls or your hotel. Many clients combine this with a daily NEC shuttle.
Do you provide shuttles from local hotels during a show?
Yes. We can arrange daily V-Class shuttles from hotels in Solihull, Hampton-in-Arden or Birmingham city centre to the NEC, with set morning and evening times. This gives your team a reliable schedule and avoids the taxi queues at the end of the day.
Can you drive us on to dinner or a client meeting after the show?
Of course. Many clients go on to dinner in Birmingham, Solihull or at The Belfry, or visit a customer at Birmingham Business Park or Blythe Valley Park. Add those stops when you book and the chauffeur will wait and take you on, all within one fixed quote.
