3. Why we use it, and our legal basis
| Purpose | Legal basis under UK GDPR |
|---|---|
| Providing the journey you booked: confirming it, dispatching a driver, tracking your flight, contacting you on the day, taking payment and sending receipts | Performance of a contract with you |
| Keeping a record of every booking, including passenger name and journey details, because private hire licensing rules require it | Legal obligation |
| Keeping accounting and tax records | Legal obligation |
| Answering enquiries, changes, complaints and lost-property requests | Performance of a contract, and our legitimate interest in running the business properly |
| Preventing fraud, protecting drivers and passengers, and defending legal claims | Our legitimate interests, and legal obligation where it applies |
| Arranging assistance for a passenger with accessibility or health needs | Your explicit consent, given when you tell us |
| Sending you offers or news about our services | Your consent, which you can withdraw at any time |
| Understanding how this website is used so we can improve it | Your consent - see section 8 on cookies |
4. Who we share it with
- The driver and vehicle assigned to your journey - they receive your name, contact number, pick-up and drop-off details and any notes needed to complete the job.
- Payment providers - to take and reconcile payment. They are separate controllers for the card data they hold.
- Our booking, dispatch, email and hosting providers - they process data on our instructions under written contracts.
- Licensing and enforcement authorities - where a licensing condition, court order or lawful request requires it, including Transport for London.
- Professional advisers, insurers and auditors - where needed to run the business or defend a claim.
We never sell your personal information.
5. How long we keep it
- Booking and journey records: kept as long as private hire licensing requires, and in any case at least 12 months after the journey.
- Accounting and payment records: 6 years after the end of the relevant financial year, as UK tax law requires.
- Enquiries that did not lead to a booking: up to 12 months.
- Complaints, incidents and insurance matters: up to 6 years after the matter closes.
- Marketing consents: until you withdraw consent, plus a short record of the withdrawal so we do not contact you again by mistake.
- Website analytics: see section 8.
6. Where your data is held
Our records are held in the United Kingdom and the European Economic Area. Some of our suppliers, including our analytics provider, may process data outside the UK. Where that happens we rely on the UK government’s adequacy regulations or on the International Data Transfer Addendum to the European Commission’s standard contractual clauses, so your data keeps an equivalent level of protection.
7. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct anything that is wrong or incomplete;
- delete information we no longer have a reason to keep;
- restrict or object to how we use it, including objecting to anything we do on the basis of legitimate interests;
- transfer information you gave us to another provider in a machine-readable format;
- withdraw consent at any time, where consent is the basis we rely on.
We will respond within one month. There is no charge. We may ask you to confirm your identity first so we do not disclose your details to someone else. If a licensing or tax obligation means we must keep a record, we will tell you which one and why.
8. Cookies and analytics
When you first arrive we show a banner asking whether we may measure how the site is used. Nothing that measures you is set until you choose.
- If you choose Accept we load Google Analytics 4, which sets cookies to count visits, see which pages are read and which routes people look for. We use it to improve the site, not to target advertising. Analytics data is held for 14 months and then deleted.
- If you choose Reject no analytics cookies are set and no analytics data is sent. The site works exactly the same.
- Strictly necessary cookies may still be used to remember your cookie choice and to keep a booking form working while you fill it in. These do not need consent and do not track you between sites.
To change your mind, clear this site’s cookies in your browser settings and reload the page; the banner will appear again. You can also block cookies entirely in your browser. Analytics is also switched off automatically if your browser sends a Global Privacy Control signal.
9. Children
This service is sold to adults. We do not knowingly collect information from children, although a booking may of course include children travelling as passengers, in which case we only hold what the booker tells us - for example that a child seat is needed.
10. Keeping it safe
The site is served over HTTPS. Access to booking records is limited to the people who need it, and drivers only receive the details of the job they are doing. If a breach ever put your rights at serious risk we would tell you and the Information Commissioner’s Office within 72 hours of becoming aware of it.
11. Changes to this notice
If we change how we use personal information we will update this page and change the date at the top. Material changes will be highlighted on the home page.
12. How to complain
Please contact us first at support@getlondontransfer.co.uk - most things are quickest to fix that way. If you are still unhappy you can complain to the UK regulator:
